About the Role:
We are looking for a highly organized and detail-oriented HR & Operations Support Specialist to join our growing team based remotely anywhere in the Philippines. This role will be crucial in ensuring the smooth and efficient execution of administrative tasks across the employee lifecycle, supporting our US-based Global VP of People and other executives as needed. You'll be a key support for our global employees and leadership, ensuring a positive and seamless experience.

This is a fully remote, full-time position with flexible hours, though it will require hours to overlap with the US for meetings from 8pm to midnight Philippine Standard Time (8am to noon EST). 

Key Responsibilities:
As an HR & Operations Support Specialist, you will be responsible for a variety of HR and administrative tasks, including but not limited to:

  • Employee Support
    • Act as the first point of contact for employees outside of the US, triaging and responding to questions related to payroll, benefits, tools, teams, and other information as needed.
    • Conduct new hire check-ins and employee exit interviews to gather data and ensure a positive experience for all employees.
    • Complete salary and employment verifications as requested. 
    • Support the VP, People with the execution of employee lifecycle projects such as performance reviews, goal setting, compensation review, engagement surveys, etc.
  • Document Management:
    • Prepare and generate employment contracts, offer letters, and other HR-related documents for new hires, promotions, and changes in employment status in our payroll system, Rippling.
    • Maintain an organized and accessible repository of all signed contractor agreements in our contracts portal, Legisway.
    • Conduct Audits of required documents and follow up with employees directly to collect signatures and ensure compliance.
  • HRIS & Data Management:
    • Ensure the accuracy and cleanliness of employee data across all HR platforms, including Rippling, Culture Amp, and our Learning Management System (Thought Industries).
    • Perform regular data audits and clean-ups to maintain data integrity.
    • Support the integration and maintenance of employee data across other relevant internal platforms and systems.
  • Onboarding & Off-boarding Administration:
    • Provide comprehensive administrative support for the employee onboarding process, including preparing new hire paperwork, setting up employee profiles in various systems, and coordinating initial access with IT.
    • Assist with off-boarding procedures, including preparing exit documents, coordinating system access with IT, and tracking company asset returns.
    • Ensure a smooth administrative transition for employees joining and leaving the company.
  • Administrative & Event Support:
    • Assist with booking hotel meeting rooms, event venues, and other logistical arrangements for leadership team meetings and company events as needed.
    • Provide general administrative support to the People Operations team and leadership as required.
    • Order employee gifts and facilitate team events.

Qualifications:

  • Experience:
    • 2-5 years of administrative support experience, preferably within a Human Resources or People Operations department.
    • Experience working with HRIS platforms (e.g., Rippling) and other HR-related software (e.g., Culture Amp, LMS) is highly desirable.
  • Skills:
    • Exceptional organizational skills and a strong attention to detail.
    • Proficiency in Google Workspace (Docs, Sheets, Slides) or Microsoft Office Suite (Word, Excel, PowerPoint).
    • Excellent written and verbal communication skills in English.
    • Ability to handle sensitive and confidential information with discretion and professionalism.
    • Strong problem-solving abilities and a proactive approach to tasks.
    • Ability to work independently and manage multiple tasks effectively in a fast-paced environment.
    • Knowledge of basic Philippine labor laws and regulations is a plus.
